📋 Position Overview
Our established CPA firm is seeking a detail-oriented and professional Seasonal Administrative Assistant to support our team during the busy tax season. As the first point of contact for our clients, you will play a critical role in ensuring smooth daily operations and maintaining our high standards of client service. This position offers a professional environment with flexible daytime hours.

⚙️ Key Responsibilities
  • Client Reception: Greet arriving clients warmly, manage incoming phone calls, and direct inquiries to the appropriate team member.
  • Appointment Management: Coordinate and maintain calendars for tax preparers, including scheduling client drop-offs and consultations.
  • Document Processing: Securely scan, copy, assemble, and organize sensitive tax documents and financial records.
  • Data Management: File digital and physical records accurately while maintaining strict compliance with client confidentiality protocols.
  • Administrative Support: Prepare outgoing mail, track tax return completion statuses, and assist accountants with administrative tasks as needed.

🔎 Qualifications & Skills
  • Experience: Minimum of 1–2 years of experience in an office environment; prior experience in a CPA firm, legal office, or financial services environment is highly preferred.
  • Technical Skills: Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning firm-specific software.
  • Communication: Exceptional verbal and written communication skills with a polished, professional demeanor.
  • Attributes: High level of organizational skill, strong attention to detail, and the ability to multitask effectively in a fast-paced environment.

📋 Position Overview                   

Our established CPA firm is seeking a detail-oriented and analytical Seasonal Accounting Assistant to support our professional team during the peak tax season. The primary focus of this role is entering tax returns and handling routine bookkeeping data entry using QuickBooks. In this role, you will work closely with our accountants to keep client data organized and financial reporting running efficiently. This position offers an excellent opportunity to gain hands-on public accounting experience in a professional environment with flexible daytime hours.
 
⚙️ Key Responsibilities
• Tax Return Entry: Perform initial data entry for individual and small business tax compliance folders and source files.
• QuickBooks Bookkeeping: Maintain accurate client books, input transactions, and manage expense categorization directly within QuickBooks.
• Bank Reconciliations: Reconcile client bank accounts, credit card statements, and general ledger balances accurately.
• Document Organization: Review, sort, and organize incoming client financial records, receipts, and tax documents for processing.
• Quality Control: Fact-check files for completeness and verify that all necessary financial summaries are prepared for the CPA team.
• Team Collaboration: Work directly with accountants and administrative staff to ensure seamless tracking of tax return completion statuses.
 
🔎 Qualifications & Skills
• Experience: Prior experience with bookkeeping, basic accounting, or tax data entry; experience working within a CPA firm is highly preferred.
• Technical Skills: Practical proficiency with QuickBooks and Microsoft Excel; comfortable learning firm-specific tax preparation software.
• Attention to Detail: Exceptional accuracy when handling numbers and financial data to ensure error-free entry.
• Communication & Focus: Strong organization skills with the ability to manage multiple client files efficiently in a fast-paced environment.
